BoxHero Subscription Overview

BoxHero offers a subscription-based inventory management service with flexible billing options. You can choose to be billed monthly or annually, depending on your preference.

We currently offer two plans to meet different needs:

  • Business Plan: Designed for growing teams that need advanced features

  • Personal Plan: Best for individuals or small teams getting started

Business Plan

The Business Plan includes full access to all BoxHero features:

Flexible Billing Options

  • Monthly: $20/month per team

  • Annual: $216/year per team

You can increase your usage limits as needed for an additional fee. Upgrade, downgrade, or cancel your plan at any time. All adjustments are pro-rated, with any additional charges or credits applied to your next payment.

Personal Plan (Free)

When you sign up for BoxHero, you’ll automatically get a free 30-day trial of the Business Plan. After the trial ends, your account will switch to the Personal Plan unless you choose to upgrade.

The Personal Plan is free and includes:

  • One member (no team collaboration)

  • Up to 100 items

  • Limited access to core features like low stock alerts and analytics

Managing Payments & Plans

To start a subscription or change/cancel your plan, please navigate to Settings > Billing.

Note: If you start a subscription during the free trial period, you’ll be charged on the day your trial ends.


Programs & Rewards

When someone signs up using your referral link, both you and the person you referred will receive 50% of their first payment as credit.

If the subscription was created during the free trial, the credit will be pro-rated and applied to your next payment after the trial ends. Credits cannot be redeemed for cash.

Affiliate Program

You can sign up to be a BoxHero affiliate and start earning revenue.

When someone subscribes using your affiliate link, you’ll earn 50% commission on their payments made in the first year. You can redeem your payouts once you reach $100 in sales. For more details, visit our Affiliate Program page.

Nonprofit Pricing

To qualify for BoxHero’s nonprofit discount, your organization must be registered as a charity, nonprofit, non-governmental organization, or social change entity within your country. Please provide legal documentation, such as a 501(c)(3) registration in the U.S., confirming your nonprofit status.

Frequently Asked Questions (FAQ)

Do you accept any other payment methods?

We highly recommend using an internationally accepted credit card (e.g. Visa, Master, AMEX) to manage your subscription and renewals. However, you can make a payment via PayPal or wire transfer for annual subscriptions by contacting our support team.

Is the "number of items" the same as the quantity?

No, the number of items is the product/item variation that you can register on BoxHero. It is not the same as quantity. You can add up to 1,000 different items with the standard Business Plan - the quantities of each item will not impact your subscription.

What happens if I exceed my plan’s usage limit?

If you go over your plan's usage limit, you won’t be able to add new items or perform stock in/out transactions. However, you’ll still be able to view and access all of your existing data. To increase your limit, you can upgrade your plan in the payment settings.

What happens if I cancel my subscription?

If you cancel your subscription, it won’t renew at the next billing cycle. You’ll still have access to the service until then. Afterward, the service will be temporarily suspended, and no further charges will be applied.

What happens if my payment doesn’t go through?

If your payment fails, we’ll try to process it up to 5 times within 7 days of the original payment date. If all attempts are unsuccessful, your subscription will be automatically canceled.

Can I change the payment method during the subscription?

You can change the payment method at any time in the payment settings menu.

What's your refund policy?

Refunds are not provided for canceled plans, but you will continue to have access to the service until the end of your billing period. If you cancel, you won’t be charged for the next billing cycle.

Why wasn't the payment processed even though I subscribed?

Please check if you are currently in the free trial period. If you make a payment during the free trial, it will be automatically charged at the end of the trial period.
