Features


Can I use decimal values for inventory quantities?

Yes! BoxHero supports decimal values for inventory quantities. You can enter numbers like 1.9 or 0.28, depending on your unit of measure.

Can I set up automated reordering for low stock items?

BoxHero does not have a built-in automatic reordering feature yet. However, you can set and monitor safety stock levels through the Low Stock Alerts feature and create purchase orders to replenish inventory.

Can I manage expiration dates on BoxHero?

BoxHero currently does not have a dedicated feature for expiration date tracking. As a workaround, you can add expiration dates as a custom attribute within BoxHero or check out our sister app, BEEP.

Can I manage inventory based on serial numbers or lot numbers?

BoxHero is designed to manage inventory quantities for fixed items. Each item will have a unique barcode number and SKU, along with custom attributes such as size, color, or manufacturer.

If you need to track inventory by serial or lot numbers, you’ll need to register each product variation as a separate item with its specific serial or lot number.

Please note that BoxHero’s pricing is based on the total number of items in your account. To avoid unnecessary charges, we recommend deleting outdated serial or lot numbers that are no longer in use.

We're currently working on a new feature that will let you assign lot numbers, serial numbers, and expiration dates directly to specific inventory items. This update is planned for release in the second half of 2025.

How do I back up my inventory data?

BoxHero automatically backs up your inventory data every day to keep it safe and sercure.

If you’d like an additional copy for your own records, you can use the Export to Excel feature to download your data at any time. While PDF export isn’t built in, you can easily convert the Excel file to PDF using your preferred tool.

Can I customize my invoice?

You can personalize your invoices by adding your company logo (JPG or PNG files up to 3 MB). While fully custom layouts aren’t supported, you can include extra details notes, memos, or attached files directly on the invoice.

To add your logo or make changes: Settings > Orders > Print Settings.

Account Settings


Can I update my email address or change my login information?

At this time, you’ll need to create a new BoxHero account with your updated email address. Once created, invite the new account to your existing team. You can then remove your old account by either leaving the team or deleting it.

If you run into any issues during this process, please reach out to Support.

How can I change my notification preferences?

You can manage your notification settings by going to Settings > Notifications. From there, choose the types of alerts you’d like to receive. Options include:

  • Mobile notifications for low stock alerts

  • Email notifications for your team’s weekly report

I created an account but the login page says it's an unregistered email.

If you see the "unregistered email" message, check that you're signing in using the same method you used when creating your account (Google vs. Email). For example, if you signed up with your Gmail account, make sure to select Email Login.

How do I change my language?

BoxHero currently supports the following languages: English, Spanish, French, German, Japanese, Korean, Indonesian, Portuguese (Brazil), and Chinese (Simplified, Traditional).

To change your language:

  • Dekstop (Web): Go to Settings > Click your Profile Icon (top right) > Account Settings > Language

  • Mobile: Go to Settings (⚙️) > Language

How do I delete my team?

To delete a team that you no longer use: Go to Settings > Team > Delete Data > Delete Team

How do I delete my account?

To permanently delete your BoxHero account: Go to Settings > Click your Profile Icon (top right) > Account Settings > Delete Account

I didn’t receive the email verification code.

First, check your spam or junk folder. If the verification email still isn’t there, please contact Support and we’ll be happy to assist you.

Plan


What happens after the free 30-day trial period?

When your free 30-day trial ends, your account will automatically switch to the Personal Plan unless you upgrade to a paid subscription.

  • You’ll still have access to your data.

  • Some features available during the trial will become restricted.

To keep full access, we recommend upgrading to the Business Plan before the trial expires.

How do I change my subscription plan?

To update your subscription, go to Settings > Billing and update your plan details.

You can add extra members or locations, switch between monthly and annual billing, or adjust other plan options. All changes are pro-rated, and any additional charges or credits will appear on your next payment.

A 10% discount is applied to the Annual Plan.

Can I pay with PayPal or use other payment methods?

BoxHero accepts payments by credit and debit cards for subscriptions and renewals. For annual subscriptions, you can also pay with PayPal.

If you need help with a payment, please contact Support.

I want to cancel my subscription.

To cancel your plan, please log into BoxHero and go to Settings > Billing. Once you click the Cancel Plan button, your subscription will not renew. You’ll still be able to use BoxHero for the remainder of your current billing period.

Barcode


Do I need a special printer for barcode printing?

No, BoxHero works with any Bluetooth-enabled printer or scanner. You can also use a smartphone camera for barcode scanning.

How do I set up barcode scanning in BoxHero?

To start scanning barcodes,

  1. Connect a Bluetooth-enabled barcode scanner, or

  2. Use your smartphone camera through the BoxHero mobile app.

The app will automatically detect and read barcodes once connected.

Integrations


Can BoxHero integrate with other platforms?

Yes. BoxHero supports:

  • Slack integration for team collaboration

  • Webhooks to send real-time notifications about your inventory processes

  • Custom integrations using our API reference

Does BoxHero integrate with e-commerce platforms?

BoxHero does not offer direct integrations with e-commerce platforms like Shopify or WooCommerce. However, you can create custom integrations using our Open API to connect with your preferred platform.

Can I integrate BoxHero with accounting software?

BoxHero does not offer built-in integrations with accounting tools like QuickBooks or Xero. You can still export your inventory data to Excel or use our Open API to sync with your accounting system.

Where is my data stored and how is it secured?

Your data is hosted on secure servers in the us-east-1 AWS region (United States). We prioritize data security with AWS cloud infrastructure, which includes industry-standard security measures such as encryption, access controls, and regular security audits.

What happens if BoxHero experiences downtime?

BoxHero strives to maintain a 99.9% uptime. In the rare event of downtime, we will notify you via email or in-app notifications. You can also check our status page for real-time updates.
